Booking Policy

At Morning Star Treks, we believe every adventure begins the moment you decide to travel. To ensure that your journey with us is smooth, fair, and stress-free, we create a simple and transparent booking policy. This policy explains how you can book your trek or tour, the payments involved, cancellations, and other important details. Read carefully before confirming your trip.

How to book a trip

Booking a trip with Morning Star Treks is easy and straightforward. You can book by contacting us on our website, by email, or directly in our office. After choosing the desired trek, ride, or adventure, we will guide you through the booking steps.

A booking form will be sent to you, and you must provide accurate personal details, such as your full name, a passport copy, and contact information. Your reservation will be officially confirmed only after we receive the advance payment (deposit). Until then, the booking will remain “tentative.”

Deposit requirement

To guarantee your seat, we require a minimum deposit of 25% of the total cost of travel at the time of reservation. For certain challenging or restricted treks, we can request a higher deposit (up to 40%) because special licenses and agreements need to be made in advance.

Deposits can be made by bank transfer, credit card, or any other method mentioned on our payment page. Once payment is received, we will issue a booking confirmation invoice.

Final payment

The remaining balance of the cost of the trip should be paid upon arrival in Nepal before the start of the trip. Payment can be made in cash (Nepalese rupees, USD, or other important currencies) or by card. In some special cases, we can request full payment before your arrival, especially if the trek involves limited permissions or demand during the peak season.

Cancellation Policy

We understand that sometimes plans change. If you need to cancel your booking, please let you in writing (the email is acceptable). Cancellation charges will be applied as follows:

  • More than 45 days before the trip: Total deposit refund (bank fees/transactions less).
  • 30-45 days before the trip: 50% of the deposit reimbursed.
  • Less than 30 days before the trip: the deposit is not refundable.
  • Less than 15 days before the trip or non-attendance: the total cost of the trip will be charged.

In the case of sudden emergencies (disease, natural disaster, etc.), we will try to be flexible and adjust your booking to a later date without extra charge.

Trip Postponement

If you cannot participate in the trip on the scheduled date, but you still want to travel later, you can postpone your booking. You must inform us at least 30 days before departure. Your deposit will be transferred to the new date without penalty. For requested changes less than 30 days before travel, an additional fee can be applied.

Changes by Mornings Stars Treks

Sometimes, due to bad weather, political situations, natural disasters, or safety concerns, morning treks may need to adjust itineraries, routes, or dates. We will always inform you in advance and offer the best alternative possible. If changes significantly affect your trip, you can choose a different trek or request a refund.

Travel Insurance

All travelers must have valid travel insurance that covers high altitude trekking, accidents, diseases, emergency evacuation, and travel cancellation. Proof of insurance may be requested before the trek begins. Morning Star Treks will not be responsible for costs arising due to a lack of insurance.

Health and fitness

By booking with us, you confirm that you are physically fit to undertake the chosen trip. Please consult your doctor before traveling, especially if you have any pre-existing medical conditions. Morning Star Treks will not be liable for health issues that arise due to a lack of preparation.

Last-Minute Bookings

We also accept Last-Minute Bookings, up to 48 hours before departure, depending on availability. However, for special treks that require booking, advance booking is strongly recommended.

Responsibility

Morning Star Treks takes full responsibility for organizing your trip as promised. However, we are not responsible for delays, cancellations, or losses caused by events outside our control (such as climate, strikes, or government regulations).

Agreement

When you reserve a trip with Morning Star Treks, it means you have read and agreed to this booking policy. This ensures a mutual understanding between you (the traveler) and us (the trekking company).
